What you will be doing
Primary point of contact between the business unit and our customers working through sales managers or production manages. Either through direct action, or by interacting with the various departments within the organization, the Customer Service Coordinator fulfils customers’ requirements. As such, the Customer Service Coordinator has a hand in every step of the ordering
process from quotation to order fulfilment, including technical queries, claims, returns, invoicing, and payments.
- Provide, quotes, invoice and/or credit notes, follow-up on accounts receivable and complete RMS’s and initial 8Ds for customers
- Order entry (consists of creating product sheets, scheduling shipments, enter orders into the computer system, distributing orders throughout production facility and mailing confirmations to customers)
- Update various excel sheets to improve communication between sales, production, customers, and tracking of orders
- Coordinate and assist shipping with open order schedules to prioritize shipments and ensure shipping paperwork is accurate
- Support other members of sales team when necessary
- Coordinate with accounting during monthly closing activities of invoices, credits, orders, foreign exchange orders, shipment invoices and assist as needed
- Conduct shipping/receiving transactions via SAP as required.
- Responsible to follow all applicable safety and environmental regulations: must be able to work safely within office and production environments following all process work instructions
- Pick and prepare outgoing shipments for HPC as needed and follow all process work instructions
- Support the shipping/receiving team acting as back-up when needed.
- Responsible for organizing all EHS inspections and audits to ensure satisfactory conditions of the site.

Education and/or Experience
- Associate’s degree or equivalent from two-year college or technical school or minimum two years’ experience in customer service; or equivalent combination of education and experience. Experience in an international company preferred.
- Demonstrated ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Demonstrated ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Previous manufacturing experience is required
- Experience with SAP heavily preferred
- Experience in logistics tasks and software (UPS, FedEx) preferred
- Must be able to work with various chemicals including measuring and mixing solutions.
- Required to adhere to recommended biological monitoring as directed by EHS.
